Policies

The West Virginia Vipers Hockey organization is committed to fostering a culture of respect, integrity, accountability, and sportsmanship. All players, parents, and spectators are expected to represent the Vipers positively both on and off the ice by demonstrating respect toward teammates, coaches, opponents, officials, and rink staff. Players are expected to be prepared, coachable, and committed to team responsibilities, while parents and spectators are expected to maintain a supportive and respectful environment, refrain from negative comments or sideline coaching, and not engage with referees. Communication should always be handled appropriately, including adherence to the 24-hour rule, which requires parents to wait 24 hours after games or practices before addressing concerns with coaches. By participating in the Vipers program, all families acknowledge their commitment to upholding these standards and understand that failure to do so may result in disciplinary action.

REFUND POLICY

All fees paid to the West Virginia Vipers Hockey Club are non-refundable, as team expenses such as ice and league fees are committed based on rostered players. Refunds or credits may only be considered in cases of season-ending injury, with required physician documentation, and are subject to timing within the season and any non-recoverable costs; late-season injuries or injuries where a player is expected to return are not eligible. No refunds or credits will be issued for voluntary withdrawal, schedule conflicts, or team-related concerns. Optional Registration Insurance may be available at the time of registration to help protect non-refundable fees under certain covered circumstances, with all claims handled directly through the insurance provider. All requests must be submitted in writing to alex@vipershockeywv.com, and Vipers Administration makes final determinations.
